PIP Assistant Privacy Policy

Last Updated: March 6, 2025

Welcome to PIP Assistant, operated by PIP Assistant ("we," "us," or "our"). This Privacy Policy explains how we collect, use, and protect your personal information when you use our website at pipassistant.co.uk ("Website") and our AI-powered service for generating Personal Independence Payment (PIP) form answers ("Service"). We’re committed to safeguarding your privacy under UK data protection laws, including the UK GDPR and Data Protection Act 2018.

1. Information We Collect

1.1 Checkout Data: If you complete our checkout form, we collect your email address and a session ID to process your request and deliver your PIP form answers. Your name is optional and, if provided, is anonymized to "{name}" in generated files.

1.2 Anonymized Data: When you answer questions via our Service, this information is sent to a third-party API (Replicate) in an anonymized form. We do not store these detailed responses on our servers.

1.3 Cookies: We use ASP.NET WebForms default cookies (e.g., session cookies) to maintain your session and ensure the Website functions properly. These are essential for the Service and do not track personal details beyond session management.

1.4 Analytics: We use Google Analytics to collect anonymized data about Website usage, such as page views, time spent, and device type. This helps us improve our Service but doesn’t identify you personally.

2. How We Use Your Information

2.1 Service Delivery: Your email and session ID are used to generate and send you a password-protected, encrypted Word document with your PIP answers. We don’t retain your detailed responses after delivery.

2.2 Anonymized Processing: Data sent to Replicate is used solely to create your PIP form answers via our AI. It’s anonymized to protect your identity.

2.3 Website Functionality: ASP.NET cookies ensure you can navigate and use the Service without interruptions.

2.4 Analytics: Google Analytics data helps us understand how you and others use our Website, allowing us to enhance user experience.

Note: We keep your data minimal—only what’s needed to help you with your PIP claim.

3. Sharing Your Information

3.1 Third-Party Processors: We share anonymized data with Replicate to process your PIP answers. Your email is shared with our email provider (e.g., PrivateEmail.net) to deliver your file. Payment data is handled by Stripe, but we don’t store it.

3.2 Google Analytics: Anonymized usage data is shared with Google Analytics, governed by their privacy policy (see Google Privacy Policy).

3.3 Legal Requirements: We may disclose your data if required by law, such as in response to a court order or regulatory request.

3.4 No Other Sharing: We don’t sell, rent, or share your personal data with anyone else beyond these purposes.

4. Storage and Security

4.1 Minimal Storage: We store only your email and session ID on our servers, and only if you complete checkout. Detailed responses are not retained after your file is generated.

4.2 Retention Period: Your email and session ID are kept for 30 days post-delivery to handle any follow-up, then deleted unless legally required to retain them longer.

4.3 Security Measures: Your Word file is encrypted and password-protected before emailing. We use reasonable technical safeguards, but no online system is 100% secure.

5. Your Rights

5.1 Access and Correction: You can request access to or correction of your stored data (email, session ID) by contacting us.

5.2 Deletion: You can ask us to delete your data, though we only hold minimal info and delete it after 30 days anyway.

5.3 Complaints: If you’re unhappy with our data handling, contact us first. You can also complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.

To exercise these rights, email us at support@PIP Assistant.com.

6. Cookies and Tracking

6.1 ASP.NET Cookies: We use default ASP.NET session cookies to keep your Website experience smooth. These are essential and can’t be disabled.

6.2 Google Analytics Cookies: These track anonymized usage data (e.g., pages visited). You can opt out via your browser settings or Google’s opt-out tool (Google Analytics Opt-Out).

6.3 No Other Tracking: We don’t use additional cookies or tracking beyond these.

7. Changes to This Policy

We may update this Privacy Policy by posting a new version on our Website. Check back periodically—your continued use after changes means you accept them.
